Document peace of mind for AIG

AIG's mailboxes nationwide are emptied each day by Iron Mountain staff who open, date stamp, sort and deliver mail items to intended recipients. "We don't have the necessary facility to do this in house and the service Iron Mountain provides gives our staff peace of mind," Auckland based, AIG administration manager, Mandy Seck says.

Iron Mountain provides a mail room service to several other clients which in some cases includes processing cheque payments, scanning documents and emailing them to recipients.             


Mail items are security checked, opened, date stamped, sorted and delivered to intended recipients at AIG.

The outsourcer also checks applications and claim forms to ensure they have been filled out correctly and signed. Any that are not completed properly are sent back to the sender to be resubmitted.

Iron Mountain staff sort through around 200 AIG mail items daily. That number can swell to thousands in response to large-scale mail outs the company may generate.

The company has also been managing AIG's off site document storage for the past seven years.

"That service also works well for us saving space and time," says Seck. "There are several thousand boxes and Iron Mountain keeps track of where everything is and retrieves information as we need it."

AIG is a US based international insurance and financial services organisation, with head offices based in Auckland and a branch in Wellington.

Iron Mountain clients range from family run businesses to blue chip corporations. The company provides a wide range of records and information management solutions, including mail room services, to several companies throughout New Zealand and internationally.
